Financial Aid Officer

Job Description
Paul D. Camp Community College is a small 2-year college in Southeast Virginia. Campuses are located in Franklin and Suffolk. There also is a center in Smithfield. The college offers associate degrees, certificates, and career studies certificates In transfer and career/technical programs; credit and non-credit workforce services and training for businesses and industries; special interest classes for the community; and summer classes for youth through the Regional Workforce Development Center. A dual enrollment program for high school students, online courses, and developmental studies classes are available at the college as well.

The Financial Aid Officer will serve as backup to the Financial Aid Coordinator. Plan, organize and manage daily operations and activities of the Suffolk Financial Aid Office and service to Smithfield Center students. Review and revise all student financial aid as needed. Coordinate Work-Study and Veterans benefit programs for Suffolk and Smithfield students within guidelines, with few errors, resulting in satisfactory audits. Guide students and parents through completing FAFSA forms and follow-up documents. Answer emails and phone calls within 48 hours. Import FAFSAs and other federal files. Verify taxes and conflicting information; make FAFSA corrections. Monitor enrollment and revise aid for enrollment changes. Assist with timely disbursement of all federal, state and local funds as needed. Coordinate financial aid recruitment and retention activities for Suffolk and Smithfield; perform community workshops for student and parents as needed; and liaison with high school career coaches. Provide financial literacy and loan repayment outreach to current students.

This position will be expected to travel as needed to the other college locations.

*All full-time classified employees new to the Commonwealth of Virginia will serve a 12-month probationary period.

Special Assignments
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA's/Required Qualifications

  • Demonstrated knowledge of competency in at least one of the following areas: Accounting, auditing, statistical analysis, policy development, SQL query development, troubleshooting information technology (IT) issues, interpersonal counseling or case management.
  • Working knowledge of financial aid processes, including the Free Application for Federal Student Aid (FAFSA).
  • Demonstrated ability to interpret and apply regulations, guidelines, policies and procedures.
  • Strong computer skills to include word processing, spreadsheet, and email software (ex. Microsoft Office) and databases (ex. PeopleSoft).
  • Experience maintaining confidential, accurate, complete and up-to-date client files and records.
  • Demonstrated ability to prioritize and make decisions independently under pressure, with a high level of accuracy and attention to detail, while maintaining composure.
  • Demonstrated ability to communicate effectively, both verbally and in writing; including public speaking.
  • Excellent customer service skills.
  • Ability to work cooperatively in a team environment, adapting quickly and easily to competing deadlines.
  • Ability to work evenings and weekends as needed to assist students, and during busy peak periods.

Additional Considerations

  • Current work experience with public contact in a higher education environment, especially with financial aid or veterans.
  • General knowledge of federal tax code (e.g. IRS Publication 17 filing status rules).
  • Knowledge of or working experience using PeopleSoft.
  • Familiarity with procurement processing, especially using the eVA system.
  • Flexibility and willingness to learn new systems and help with system upgrades.
