GENERAL STATEMENT OF RESPONSIBILITIES:
The part-time Office Assistant will be responsible for providing administrative support to the Funeral Service program, housed on the campus of Bridgewater State University. The position requires strong administrative office skills, a high level of organization, excellent communication and interpersonal skills, and robust computer skills. Problem-solving skills, flexibility, and the ability to be self-directed in day-to-day office operations are essential.

Job Description:

EXAMPLES OF DUTIES:
- Prepare correspondence, plan and organize meetings and events, and record and distribute meeting minutes.
- Maintain confidentiality of student records and information in accordance with FERPA regulations.
- Electronically maintain statistics for Funeral Service program, including cohort tracking, graduation rates, testing success rates, new enrollee information, and other information related to ABFSE accreditation requirements.
- Control and maintain Funeral Service program files, records, reports, and correspondences.
- Communicate with key personnel to maintain Funeral Service web pages and program-specific brochures and documents.
- Contact and respond to prospective student inquiries, providing program-specific information regarding Information Sessions, Open Houses, etc.
- Prepare and maintain records of travel forms, purchase requisitions, reimbursement forms, order materials and supplies, and maintain budgets.
- Utilize official College technology and software, such as Jenzabar and Microsoft Office Suite, for the purpose of obtaining information, preparing correspondence, data entry, etc.
- Develop and maintain cooperative relationships with students, faculty, and staff.
- Perform other duties as assigned.
Requirements:
MINIMUM QUALIFICATIONS:
- Two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management.
- Ability to exercise discretion in handling confidential information.
- Knowledge of FERPA regulations and College policies and procedures or the ability to read and interpret such.
- High level of organizational and communication skills, flexibility, and the ability to work under pressure to meet deadlines with attention to detail and accuracy and handle multiple tasks simultaneously.
- Knowledge of Windows-based software and PC functions including advanced experience with Microsoft Word, Excel, and PowerPoint, or equivalents.
- Experience accessing data and running queries using a student information system.
- Familiarity with Jenzabar or similar student enterprise system.
- Bachelor's degree.
- Familiarity with American Board of Funeral Service Education (ABFSE) accreditation standards.
- Experience working in a two-year or four-year college setting.
- Preference will be given to candidates who have experience, an appreciation for, and a commitment to working in a global, multicultural academic setting.
